THE TEAM

We are innovative people strategists who support an inclusive, diverse, and productive workforce to keep Washington Safe and Working. The Office of Human Resources (OHR) ensures the Washington State Department of Labor & Industries is compliant with all state and federal personnel laws and regulations, collective bargaining agreements, and policies. We provide direction and consultation to managers, supervisors and employees regarding all facets of the administration of human resources.

THE ROLE

As the lead administrative assistant for the division, you play a key role in keeping us informed and on track. As the primary assistant to the Assistant Director of the Office of Human Resources, you will help track an $8 million dollar budget and the division’s business operations, daily operations, vacancies/hiring, major expenditures and coordinate asset management for the program. You will process all criminal history background checks for employment at the agency along with other very highly confidential personal and personnel information at an agency-wide level.

Duties

Some of what you’ll do:

  • Provide administrative support to the Assistant Director.
  • Manage daily calendar, organize and schedule meetings for the Assistant Director.
  • Implement and maintain tracking systems to ensure follow-up and completion of program assignments.
  • Process all criminal history background checks for all employees.
  • Work with budget staff to prepare, update and report division budget using department prepared tools in Excel and other spending plan systems.
  • Independently draft and review confidential correspondence for the Assistant Director’s signature.
  • Serve as the Legislative Coordinator for OHR.
  • Serve as the division contact for facility needs.

Qualifications

REQUIRED:

  • High School diploma or equivalent AND four years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting or general administrative work.
  • Ability to use desktop software to perform word processing, develop spreadsheets, prepare PowerPoint and other presentation material, edit digital photos, and develop and edit web pages.
  • Experience working in an office dedicated to human resource management operations, and familiarity with handling confidential information.
  • Ability to interview, hire, assign and direct work, evaluate, and discipline, set expectations, instruct, coach and identify training needs.
  • Ability to write and speak effectively, establish and maintain cooperative relations with others.
  • Ability to read, understand and apply law, regulation, policy or procedure related to business area and state government.

DESIRED:

  • Four years of Administrative Support experience.
  • Supervisory experience.
  • Experience developing and reconciling complex, multi-stream budgets, management of spending plans in a public sector setting.
  • Creative problem-solving in a variety of environments.
